Student employees and staff

 

Clocking In/Out

  • All employees are required to use the TCP time clock system to clock in and out at the start and end of their shift, as well as when taking mandatory lunch breaks.

  • Report any errors in your timecard to your supervisor promptly.

 

Timecard Errors or Discrepancies
If there are missed punches, incorrect entries, or other discrepancies, follow this process:

  • Employee reports error: Notify your supervisor immediately if you notice a missed punch or timecard error.

  • Supervisor verifies and corrects: Your supervisor will verify and correct any errors in your timesheets using TCP. Once completed, the Manager will save the documentation for two (2) years.

  • Employee receives confirmation: The supervisor will notify you once the correction has been made.

 

Mandatory Lunch Break

 

Supervisor Limitations

  • Supervisors cannot edit an employee’s timecard (such as adding a lunch break) without the employee’s consent.

 

 

Federal Work-Study Students

 

Mandatory Meal Break

  • Policy: You are required to take an unpaiduninterrupted 30-minute meal break if you work more than five (5) consecutive hours. You must clock out and back in for this break.

  • Why This Matters: Missing a mandatory break creates complex pay adjustments that can sometimes delay processing your full paycheck. It also generates wage penalties that the university cannot cover with Federal Work-Study (FWS) funds.

 

Federal Overtime (OT) Limits

  • Policy: You must not exceed 8 hours in a single day or 20 hours in a single workweek while classes are in session (40 hours max during official university breaks). These limits are essential to maintaining your FWS eligibility.

  • Why This Matters: Repeatedly exceeding the FWS hour limit is a serious program violation that may impact your eligibility for the student employment program. Similar to meal break penalties, overtime penalties also cannot be paid by OTIS using Federal Work-Study (FWS) funds.
